RiverWoods is seeking a Full-Time (32 hours/week) Medical Records Technician. Bring your excellent customer service and medical records experience to join us at RiverWoods! The Medical Records Technician is responsible for maintaining current and discharged Health Care resident records while assuring compliance with state and Federal regulations. The ideal candidate will provide quality customer service with a positive attitude and commitment to teamwork while meeting the needs of residents, team members and visitors.

Responsibilities

  • Provides quality customer service with a positive attitude and commitment to teamwork while meeting the needs of residents, staff and visitors. Supports all aspects of the RiverWoods community.
  • Admits, transfers, and discharges residents in accordance with established policies and procedures in the resident’s health record. 
  • Prepare admission record for new admits, copy or transfer pertinent information from previous record to active record.
  • Update resident admit, transfer and discharge in the electronic health record to ensure accurate census.  Update Medicare status on date of discharge from Medicare A.
  • Notify pharmacy, laboratory and x-ray billing department as appropriate of admission information, billing status, insurance information and responsible party information. Notify pharmacy billing department of discharge and/or last covered Medicare A for billing status changes.
  • Maintain census to ensure an accurate record of bed availability. Make changes in system via update from daily census sheet, admission/discharge, room change and leave of absence or hospitalization, run and print census daily. Notify receptionist of changes to notify personnel via e-mail and update lists. Maintain current records of all residents admitted/discharged by facility in accordance with established policies and procedures.
  • Confirms Medicare A admission eligibility and hospital admission qualifying Med A dates with Social Services. Obtains Medicare A effective coverage date, last coverage date and discharge dates from the MDS Coordinator. Updates Medicare status in electronic health record.
  • Assist in developing and/or revising procedures to ensure records are properly completed, coded, signed, indexed, etc., before filing.
  • Assist in admission, transfer and discharge procedures as necessary, answer inquiries concerning medical record function.  File active and inactive records in accordance with established policies.
  • Complete thinning of current records Ensure record is complete and accurate prior to disassembling and filing. 
  • Track and maintain physician compliance; notify physicians when due to see their residents in accordance with policy and regulations to ensure continued compliance with regulations and quality of care. Notify the Director of Health Services and Medical Director when attempts have failed to obtain physician compliance.
  • Ensure all physician telephone orders are mailed for signature and filed in resident record when returned with signature.
  • Assists nursing in preparing necessary paper work in the event a resident is sent out in an emergency.
  • Abstracts information from records as authorized and/or required for insurance companies, Medicare and finance department to complete Medicare billing.  Ensure appropriate authorization is obtained for release of information.
  • Retain discharged records for 7 years, maintain spread sheet with date of discharge, date for destruction for easy location. Document date record is destroyed, shredded on spread sheet.
  • Communicate and forward correspondences between campus’ and MD’s or resident and families.
  • Assist the MDS Coordinator with Care Conference scheduling as needed.
  • Maintain inventory of medical record supplies/forms, order necessary forms/supplies with approval.
  • Abides by HIPPA/Confidentiality Standards of Practice; releases information in accordance with established policies and procedures and Confidentiality.

Qualifications

  • High School Diploma or Equivalent required

  • 1 to 3 years of medical terminology, diagnosis coding and customer service.

  • Experience in geriatric long-term care record keeping is preferred.

  • New Hampshire Notary preferred, but not required.

  • Strong interpersonal and relationship skills, problem solving skills, critical thinking.
  • Demonstrated adaptability, flexibility, and creativity. Ability to initiate change and build community.
  • Strong computer skills to include Word and Excel
